VAR is the advertising agency of VRT, the Flemish Radio and Television network. Based in Woluwe-Saint-Etienne, the organization offers multi-channel advertising (TV, radio, digital) to agencies and direct advertisers. With around 50 employees, VAR collaborates with Belgian and international media players to help professionals bring their communication projects to life.
Challenge
VAR aimed to digitize its end-to-end operations, from campaign ordering to invoicing. The existing tools did not support dynamic contract creation, centralized customer data, or integration with the broader ecosystem, including VAR’s own customer portal, reporting tools, and booking systems. Manual processes and lack of flexibility slowed down collaboration across teams and partners.

Solutions
VAR partnered with Eezee-it to tailor a highly customized Odoo solution, aligning technology with VAR’s operational complexity and business flows.
1Custom-built contract module
A dynamic module was created from scratch, allowing users to build contracts by adding or editing clauses and templates based on collaboration type. Documents could be sent and signed online directly within Odoo, ensuring smooth and traceable validation.
2Integrated campaign workflow
Sales and Accounting modules were linked via a service bus to third-party platforms. Campaign bookings automatically generated and updated purchase orders in Odoo. These orders triggered customized billing workflows, factoring in discounts and commission policies specific to client accounts.
3Centralized customer insights and credit management
Odoo’s Contact module was adapted to consolidate all client information. Integration with Atradius via API enabled automated credit checks and credit limit assignments—ensuring risk control from the outset of collaboration.
